This GDPR & Consent Policy explains how VOLGHE handles consent from candidates and freelancers in the context of recruitment, search, selection, and freelance assignments.
This document supplements our Privacy Statement, but does not replace it. In our Privacy Statement, you will find the full explanation of what personal data we process, why we do it, on what legal grounds we base our actions, with whom we may share data, how long we retain data, and what rights you have.

VOLGHE works with candidates and freelancers who actively apply for jobs, voluntarily submit their information, are approached by us, or have been in contact with us previously.
To be able to guide you correctly, we need to process certain personal data. This includes, for example, your resume, contact details, professional experience, education, certifications, availability, expectations, interview notes, and communication with VOLGHE.
In certain situations, we will ask for your explicit consent, for example, to retain your data longer in our candidate database or to present your profile to a client or employer.
1. Why do we ask for consent?
VOLGHE works with candidates and freelancers who actively apply for jobs, voluntarily submit their information, are approached by us, or have been in contact with us previously.
To be able to guide you correctly, we need to process certain personal data. This includes, for example, your resume, contact details, professional experience, education, certifications, availability, expectations, interview notes, and communication with VOLGHE.
In certain situations, we will ask for your explicit consent, for example, to retain your data longer in our candidate database or to present your profile to a client or employer.
2. New candidates and freelancers
When you are new to our database and apply or provide your details to VOLGHE, you may be asked to separately indicate your choice for different forms of consent.
These permissions may include:
- Consent to keep: permission to keep your data in our candidate database;
- Right to represent: permission to present your profile to clients or employers.;
- Email Permission: consent to contact you by email about relevant vacancies, assignments, or updates.
These permissions are requested separately so you can clearly decide what you agree to and what you don't.
3. Existing candidates and freelancers in our database
If you have previously been in contact with VOLGHE or are already in our database, we may ask you to review our documents and confirm or re-register your consent settings.
We do this to work transparently and to ensure that your data is processed only in a clear, correct, and up-to-date manner.
Even if you are already in our database, you can withdraw your consent at any time adjust or withdraw.
What does Consent to keep mean?
Consent to keep means that you give FULL consent to store your data in our candidate database.
This may include, but is not limited to:
- Your name and contact details;
- I am CV.;
- Your professional experience;
- Education, certifications, and skills;
- availability and professional expectations;
- Relevant communication with VOLGHE;
- interview notes or information you have shared with us yourself.
With this permission, we can review your profile again in the future when a job opening or assignment becomes available that matches your experience, expectations, and professional preferences.
Consent to keep does not mean that your profile will automatically be shared with customers or clients are presented.
5. When do we contact you based to keep consent?
If you give permission for us to store your data, it doesn't mean we will contact you constantly.
VOLGHE will only contact you when we assess that a vacancy, assignment, or opportunity could genuinely be relevant to your profile, experience, region, expectations, or professional ambitions.
Are you not actively looking for a position for the time being, but would you allow us to keep your details? Then you can check "Consent to keep" without checking "Right to represent.".
In that case, we will store your data, but we will not suggest your profile to clients or employers without further coordination and permission.
6. What does the Right to represent mean?
Right to represent means that you give EXPLICIT permission to present your profile to a client or employer for a suitable vacancy or assignment.
This does not mean that VOLGHE will forward your profile just like that, automatically, or without consultation.
VOLGHE will never propose your candidacy to a client or employer without first discussing the specific vacancy or opportunity with you.
Only after you explicitly confirm that you wish to be proposed for that specific opportunity, will we introduce your candidacy to the client or employer.
7. How does an introduction work for a Specific customer?
When we think a vacancy or assignment might be a good fit for you, we will contact you first.
We will then discuss, among other things:
- the function or assignment;
- the client or principal, insofar as this can be shared at that time;
- the context of the role;
- the expectations;
- the location, timing, and availability;
- relevant terms, such as salary expectation, rate, or contract type;
- your interest and agreement to proceed.
We will only share your profile with the client or employer if you explicitly confirm that you wish to be put forward.
This way of working is important for VOLGHE. We want to avoid candidate profiles circulating in the market without context or without agreement.
8. What do we share with a client or customer?
When you agree to be presented for a specific opportunity, we can share relevant information with the client involved or client.
This may include, but is not limited to:
- I am CV.;
- Your professional experience;
- Training and certifications;
- relevant skills;
- availability;
- salary expectation or rate indication, if relevant;
- a brief performance or interview report;
- information needed to correctly frame your candidacy.
We only share information that is relevant to the specific job opening or assignment.
We never sell your personal data to third parties.
What does Email Permission mean?
Email Permission means you are giving consent to receive emails from VOLGHE about relevant job openings, freelance assignments, updates, or other professional opportunities.
You can withdraw your consent for email communication at any time.,
For example, by using the unsubscribe link in our emails or by contacting us at info@volghe.com.
10. What if you're not actively looking?
If you are not actively looking at the moment, you can choose to only give Consent to keep.
That means we are allowed to store your data, but you do not yet have
General permission to present your profile to clients or employers.
If an opportunity comes up later that seems like a good fit for you, we may contact you to ask if you'd like to discuss it.
You then decide for yourself whether you are interested and if you want to be put forward for that specific opportunity.
11. How long do we retain data?
The retention periods for personal data are explained in our Privacy Statement.
When you give permission for your data to be included in our talent pool or To maintain the candidate database, we store your data according to the timelines outlined in our Privacy Statement, unless you withdraw your consent or request deletion of your data earlier.
Certain data may be subject to statutory retention periods, for example for invoicing, accounting, or contractual documents.
12. Can you refuse or withdraw consent?
Yes. Consent is voluntary.
You can choose to grant certain permissions and not others. For example, you can grant consent to keep, but not the right to represent.
You can withdraw or adjust your consent at any time.
This can be done via:
- Vincere's consent platform, if you have access to it;
- the links or settings provided in certain emails;
- an email to info@volghe.com.
Withdrawing consent does not affect processing that was lawfully carried out before the withdrawal.
13. What happens after consent is withdrawn?
When you withdraw your consent, we will update your preferences in our systems.
Depending on your request, we can:
- your profile no longer save for future opportunities;
- no longer present your profile to clients;
- do not contact me anymore for certain email communications;
- delete your data, unless we are legally or contractually obliged to retain certain data for longer.
When complete deletion is not immediately possible for legal or administrative reasons, we restrict processing to what is strictly necessary.
14. Use of Vincere
VOLGHE uses Vincere as its recruitment system to securely and structurally manage candidate and recruitment processes.
The consent form in Vincere can automatically be displayed in English. This is normal and part of the software vendor's standard environment.
The main terms are:
- Consent to keep: permission to store your data;
- Right to represent: permission to present your profile;
- Email Permission.

15. Your rights
You always retain control over your personal data.
Depending on the situation, you have the right to, among other things:
- to view my personal data;
- to have inaccurate data corrected;
- to have data removed;
- to limit the processing;
- to object to certain processing activities;
- transfer data;
- withdraw consent.
