Because we provide customized solutions through our Volghe Search and Volghe Consult pillars, the nature of the data we process varies depending on your relationship with us. We only collect data that is strictly necessary for performing our recruitment and consultancy work.
A. Candidates (Volghe Search - Permanent Hires)
When you apply, register, or when we proactively contact you (executive search), we process the following data:
- Identification and contact details: Name, first name, address, email address, phone number, date and place of birth, nationality.
- Professional details (CV): Work experience, education, qualifications, obtained certifications (particularly relevant within QHSE and Sustainability), language knowledge, and skills.
- Motivation and personality: Data from cover letters, notes we take during in-depth interviews, assessments of your cultural fit with specific organizations, and your career expectations.
- Financial expectations: Your current salary package and your expectations or requirements for a future role.
- Publicly accessible information Data from professional social networks like LinkedIn, insofar as it is relevant to your professional profile.
- Optional data: References from former employers (to be contacted only with your explicit prior consent), passport-style photo (if voluntarily added to your CV).
B. Freelancers and Interim Managers (Volghe Consult)
If you are collaborating or wish to collaborate with us as a freelance expert in QHSE or Sustainability for project-based support, we process:
- All data as described under the category 'Candidates'.
- Additional professional information: Information that you provide us in writing of verbally conveyed about Previous assignments and project experience.

A. For the provision of our core services (Matchmaking & Mediation)

B. For contract and project management (Volghe Consult)
- Goal: Drafting framework agreements, project contracts, time tracking, and invoicing for interim professionals- freelance assignments
- Legal basis The performance of the agreement between you (the Freelancer), Volghe, and the end-client, considering all parties involved in the execution of the assignment and the associated privacy safeguards.
C. For customer management and relationship building (Partnership First)
- Goal: Maintaining long-term client relationships, sending updates about top available candidates, and discussing ongoing collaborations.
- Legal basis Our legitimate business interest in maintaining commercial relationships and promoting our services.
D. For legal and administrative obligations
- Goal: Meeting tax, social, and accounting obligations, as well as preventing fraud and cooperating with government inspections.

E. For marketing and communication
- Goal: Keeping you informed of relevant market trends in ESG, Sustainability, and QHSE, or inviting you to networking events.

5. WITH WHOM DO WE SHARE YOUR PERSONAL DATA?
Your data will be handled with the utmost discretion. Volghe will only share your personal data with third parties when absolutely necessary for our service provision, and always in a secure manner. We will not sell your data to commercial third parties under any circumstances.
We may share your data with:
- Potential Employers and Clients When, after thorough selection, we judge that you are a suitable candidate or consultant for a specific role. Important: Your profile, resume, and our personal notes will only be presented to a client after we have discussed the opportunity with you and you have explicitly agreed to it.
- IT and Software Suppliers: Partners who manage our infrastructure, such as our Applicant Tracking System (ATS) provider, cloud storage, website hosting, and email providers. These parties act as processors and are contractually bound to strict security standards (via Data Processing Agreements).
- Financial and Legal Advisors Our accountant, accounting firm, social secretariat, or legal advisors, in the context of invoicing, payroll, and legal compliance.
6. HOW LONG DO WE KEEP YOUR DATA?
Volghe does not retain your personal data longer than necessary to fulfill the purposes for which it was collected, taking into account statutory retention periods.
- Candidates and Freelancers: If you apply or register, we will initially store your data for a period of 4 weeks after the completion of the application process (if the process does not result in a match). With your explicit consent to remain in our talent pool (to be able to contact you in the future for new, relevant vacancies within QHSE/Sustainability), we will store your data for up to 3 years after your last proof of activity or contact. We will contact you before the expiry of this period to ask if you wish to remain in our network.
- Customers, Contacts, and Suppliers: Data is retained as long as the business relationship is active and for up to 10 years after the termination of the relationship in connection with contractual liability.
- Billing and Accounting Information Data subject to tax and accounting legislation are kept for a statutory period of 7 years (counting from January 1 of the year following the financial year).
7. HOW DO WE SECURE YOUR DATA?
As specialists in quality and prevention management, we know better than anyone how important risk control is. We have therefore taken appropriate technical and organizational measures to protect your personal data against loss, unauthorized access, modification, or any form of unlawful processing.

As we state in our mission: recruitment is a craft and not a transaction that can be taken over by an algorithm. The assessment of your skills, your personality, and your strategic fit with a client always involves human intervention, by experienced professionals who understand your niche.
